2. Scope
This policy applies to personal information we collect through the Site, including our contact and inquiry forms, careers-related inquiries, blog and podcast resources, and any related communications. It also covers personal information you provide to us in connection with our services. It does not apply to third-party websites we may link to; please review those sites’ own privacy policies.

Information you provide directly:
Project and inquiry forms – When you use our “Get in Touch” or project inquiry forms, we collect your name, company, email address, phone number, project details, and any other information you choose to include (e.g., location, scope, timeline, budget).
Careers inquiries – If you contact us about employment, we may collect your name, contact details, resume/CV, employment history, qualifications, and any other information you provide.
Communications – Information you send us by email, phone, or otherwise.
Information collected automatically (through cookies and similar technologies):
Device and browsing information, such as IP address, browser type, operating system, pages visited, referring URLs, and timestamps. See Section 6 below for details on cookies.
Information from other sources:
Business contacts, referrals, and publicly available professional or corporate information we receive in connection with our business relationships.
We do not knowingly collect sensitive categories of personal information (such as government identifiers, health, or financial account details) through the Site, and we ask that you not submit such information through our forms.

Responding to your inquiries and evaluating potential projects – We use your contact details, company, and project details, based on taking steps at your request before entering a contract, and our legitimate interests.
Delivering our design, construction and consultancy services – We use your contact details and project-related information, based on the performance of a contract.
Processing employment/careers inquiries – We use your resume/CV, employment history, and contact details, based on taking steps at your request before entering a contract, and our legitimate interests.
Marketing and communications (with your consent, where required) – We use your email address and name, based on your consent, which you can withdraw at any time.
Improving the Site and our services (analytics) – We use your device/browsing information, based on our legitimate interests and, where required, your consent.
Legal and security compliance – We use relevant records, based on legal obligation and our legitimate interests.
5. Legal Bases for Processing
Canada (PIPEDA): We rely primarily on consent, which may be express or implied depending on the circumstances and sensitivity of the information, as well as the reasonable-expectation standard under PIPEDA.
United States (CCPA/CPRA and similar state laws): We process personal information for “business purposes” as defined under applicable law. We do not “sell” personal information, and we do not “share” it for cross-context behavioral advertising.
European Union / UK (GDPR/UK GDPR), where applicable: We rely on the lawful bases of consent, performance of a contract, legitimate interests, and compliance with legal obligations, as identified in Section 4.

We do not sell, rent, or trade your personal information. We share it only in the following circumstances:
Service providers – trusted vendors who help us operate the Site and business, such as website hosting and maintenance providers, CRM and email platforms, analytics providers, and IT support. They process information only on our instructions and are bound by confidentiality and data protection obligations.
Professional advisors – lawyers, accountants, insurers, and consultants where reasonably necessary.
Business transactions – in connection with a merger, acquisition, reorganization, or sale of assets, provided the recipient is bound by appropriate confidentiality and protection obligations.

Because WDI Group operates across Canada and the United States, personal information you provide through the Site may be transferred between, stored in, and processed in Canada, the United States, and other jurisdictions where our service providers operate. Where personal information is transferred across borders, we rely on appropriate safeguards, including contractual protections (such as standard contractual clauses where required by GDPR/UK GDPR), and we ensure transfers are made only where adequate protection exists.
9. Data Retention
We retain personal information only for as long as necessary to fulfill the purposes described in this policy, comply with legal and accounting obligations, resolve disputes, and enforce our agreements. Specific retention periods depend on the type of information and applicable law; for example, project and business records are generally retained for the periods required under applicable tax and commercial laws. We securely delete or anonymize personal information when it is no longer needed.
10. Security
We implement reasonable administrative, technical, and organizational safeguards to protect personal information against unauthorized access, loss, alteration, or disclosure — appropriate to the sensitivity of the information. No method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
11. Your Rights and Choices
Depending on where you live, you may have the following rights, subject to applicable law and exceptions:
Access and correction – request a copy of the personal information we hold about you and ask that inaccuracies be corrected (PIPEDA; CCPA/CPRA; GDPR).
Deletion – request that we delete your personal information (CCPA/CPRA; GDPR; some U.S. state laws).
Portability – receive your personal information in a structured, commonly used format (GDPR; CCPA/CPRA; some U.S. states).
Opt-out of sale/sharing – direct us not to “sell” or “share” your personal information (CCPA/CPRA and other U.S. state laws). As noted above, we do not sell personal information.
Limit use of sensitive personal information – where applicable under CCPA/CPRA and other state laws.
Objection and restriction – object to or request restriction of certain processing based on legitimate interests (GDPR/UK GDPR; PIPEDA in certain circumstances).
Withdraw consent – where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of prior processing.
Non-discrimination – we will not discriminate against you for exercising any of your privacy rights.
To exercise any of these rights, contact us at info@wdi.group with your request. We may need to verify your identity before acting on your request and will respond within the timeframes required by applicable law (typically 30 days, or up to 45 days under CCPA/CPRA).
You also have the right to lodge a complaint with the applicable supervisory authority — in Canada, the Office of the Privacy Commissioner of Canada; in the U.S., the relevant state attorney general; and in the EU/UK, your local data protection authority — if you believe your privacy rights have been violated.
12. Children’s Privacy
The Site is not directed at children under the age of 16, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us at info@wdi.group so we can delete it.
13. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. We will post any changes on this page and update the “Effective Date” below. Where material changes are made, we will take reasonable steps to notify you.
